This Privacy Policy describes how RingLedger LLC ("RingLedger," "we," "us") collects, uses, and discloses information in connection with the RingLedger software platform (the "Service"). This Policy applies to Customer's authorized users and, where relevant, to the individuals who are called or messaged through the Service ("Call Participants").
Account and user information: name, email address, phone number (optional), password (stored in hashed form), and company/role information for each user of a Customer's account.
Call content: audio recordings of calls placed through the Service, automated transcripts of those recordings, and AI-generated executive summaries, key points, and action items derived from the transcript.
Contact and project information: names, phone numbers, and email addresses of contacts a Customer chooses to save, along with the projects, notes, and messages Customer's users associate with them.
In-app messages: notes and chat-style messages users write about a specific call, including any @mentions of other users.
Team activity: a record of which of a Customer's authorized users have viewed a given call, and when, and a record of who a call update was sent to and by whom. This activity is visible to other authorized users within the same company, consistent with the Service's team-wide visibility model described in Section 9.
Payment information: RingLedger does not directly store full payment card numbers. Payment details are collected and processed by Stripe, RingLedger's payment processor, subject to Stripe's own privacy practices.
Usage and technical data: standard log data such as IP address, browser/device type, and timestamps of actions taken in the Service, collected for security and troubleshooting purposes.
RingLedger does not sell Customer Data or Call Participant information to third parties, and does not use call recordings or transcripts to train any third-party AI model beyond what is necessary to generate the summary for that specific call.
RingLedger shares information with the following categories of service providers, solely as necessary to operate the Service:
RingLedger may also disclose information if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of RingLedger, its customers, or others.
When a Customer's user places a call through the Service, the other party to the call ("Call Participant") hears an audible disclosure that the call is being recorded before the call connects. RingLedger processes the resulting recording, transcript, and summary as directed by the Customer who placed the call.
RingLedger sends text messages in two ways. Account holders who check the SMS consent box when creating their account receive account-related and call-notification texts (such as password reset links and @mention alerts) at the phone number they provide, up to approximately 10 messages per month. Providing a phone number and checking this box is entirely optional — an account can always be created and fully used without doing either, and doing so is never a condition of signing up, subscribing, or using the Service. Separately, when a Customer's authorized user sends a call update to a saved Contact, that Contact first receives a one-time text asking them to reply YES to confirm they want to receive text updates; RingLedger sends the actual update by text only after that Contact replies YES.
Anyone receiving texts from RingLedger can reply STOP at any time to opt out, or HELP for help. A Contact who does not reply YES to the initial opt-in request, or who replies with anything else, will not receive further texts. Message and data rates may apply. RingLedger does not sell or share mobile phone numbers, or mobile opt-in status, with third parties for marketing purposes.
RingLedger retains Customer Data for as long as the Customer's subscription is active. Following cancellation or termination, Customer Data is retained for 90 days and then permanently deleted, except where a longer retention period is required by law. Calls that are never assigned to a project are automatically deleted after 90 days regardless of subscription status.
RingLedger uses industry-standard measures to protect information, including encrypted connections (HTTPS/SSL), hashed password storage, and logical data isolation between company accounts.
Within a given company account, calls, projects, contacts, notes, and team activity (including who has viewed a call and to whom call updates have been sent) are visible to every authorized user on that team, not limited to the specific individuals involved — this team-wide visibility is a core part of how the Service works. Customer's Admin user can additionally view, edit, and delete contacts, projects, and calls within the Service, and manage which users belong to the account.
Any user can update their own name, email address, and phone number at any time from their Account settings. Changing to a different phone number resets that user's SMS consent, since consent to receive texts is tied to the specific number originally provided, not to the account itself — texts will not resume at a new number until the user re-confirms consent for it. Individual users can request deletion of their account by contacting their company's Admin or RingLedger directly.
The Service is intended for business use by adults and is not directed to individuals under 18.
RingLedger may update this Privacy Policy from time to time. Material changes will be communicated to Customer's Admin user by email at least 14 days before taking effect.
